Purpose of the post:
Accountable to: The Clerk to the Council
Key Accountabilities: The post-holder will be responsible for:-
Assisting the Clerk with the preparation of agendas and reports for meetings Attending meetings when required for the purpose of taking minutes. This will include attendance at evening meetings. Producing the Town Council’s quarterly newsletter in consultation with the C.E and P committee and the Clerk. This will include a quarterly events listing. Assisting with the co-ordination of the Mayor’s diary and engagements Arranging and co-ordinating key Public Events such as the Annual Dieppe Raid Commemoration and Remembrance Sunday. Undertaking reception, telephone and email answering duties Dealing with bookings for funerals at Newhaven Cemetery when required Dealing with bookings at the Town Council’s social centres, including maintaining diaries, invoicing and the receipt of payments when required Supporting the Responsible Finance Officer in the issuing of invoices, cheques and petty cash as required Supporting the Clerk with project and research work as required Providing general secretarial and administrative services as required

This job description sets out the duties of the post at the time when it was drawn up. Such duties may vary from time to time without changing the general character of the duties or the level of responsibility entailed. Such variations are a common occurrence. Staff team-working and individual personal development are key to Newhaven Town Council’s success in delivering its business aims and objectives. All staff will therefore be expected to have a flexible attitude in responding to new priorities and opportunities as they arise.
Hours per week: 25 hours per week, Monday – Friday. 10:30am – 3:30pm.
Location: Town Council offices, 18 Fort Road, Newhaven BN9 9QE
Contract term: Permanent after successful completion of probationary period.
